Variant guidance for the spreadsheet import
Follow the guidance found below to correctly configure variants within your import spreadsheet. If you need assistance, please contact us.
To configure your variants follow this three step process:
• Step 1 - Configuring the available variants
• Step 2 - Configuring the available combinations
• Step 3 - Entering associated information
• Deleting variants
Step 1 - Configuring the available variants
The variant options and variant option values of a product should be entered on the same row of the spreadsheet as the rest of the product’s information.
Variant Option 1, 2, 3
In each Variant Option field enter the name of the type of variation, such as ‘size’ or ‘color’. You do not have to use all three fields.
Variant Option (1, 2, 3) Value
In each Variant Option Value field enter all of the available corresponding variations for the option. Separate each one with a comma and a space, e.g. Small, Medium, Large or Blue, Green, Black
If you left any of the ‘Variant Option’ fields blank, then you should also leave the corresponding ‘Value’ field blank.
Your spreadsheet should now look similar to this:
Step 2 - Configuring the available combinations
Next you will configure the individual available combinations of your variants.
If all of the variants are available in all possible combinations, and all of the variants have the same price, SKU, weight or other variables, then you should follow the instructions labelled (A) below.
If your variants are not available in all combinations or your variants have different variables then you should follow the instructions labelled (B) below.
Each variant combination should be placed on a new row on the spreadsheet. For each variant row that you configure enter variant in the ITEM ID column.
Please note: This field is case sensitive so you must write variant all in lower case.
Instructions A
Follow these instructions if the variants are available in all combinations.
Under 'Variant Option 1 Value' (and 2 and 3 if using them) enter All variants.
Your spreadsheet should then look something like this:
Instructions B
Follow these instructions if the variations are not available in all combinations or if the variations have different information (such as SKU or price).
Enter the individual variant (e.g. ‘Small’ or ‘Blue’) under each ‘Variant Option … Value’ column. You can use ‘All variants’ where you need to. Your spreadsheet should then look something like this:
In this example we’ve entered 4 rows into the spreadsheet.
In the first row we established that the ‘Small’ variant is available in any color, but only in the ‘Metal’ material.
In the second and third rows we established that the ‘Medium’ variant is available in the ‘Blue’ (in the second row) with all material variants and in the ‘Black’ (in the third row) with all material variants. ‘Medium’ isn’t available in the ‘Green’ variant so we couldn’t input ‘all variants’. In order to make ‘Medium’ available in more than one color we had to create multiple rows.
In the fourth row we established that the ‘Large’ variant is available in any color and any material.
Step 3 - Entering associated information
In the next columns enter the associated information for each variation combination according to the following field guidance. The information should be entered on the same row as the variation combination it relates to.
Variant Image
If you want the user to be shown a particular image when they select the variation on your website, enter the image number (from the images you have uploaded for the product) here.
Variant SKU
If the variant should have a different SKU code from the base product, enter it here.
Variant GTIN
Enter the GTIN for the variant here.
Variant MPN
Enter the MPN for the variant here.
Variant Price
If the variant should have a different price from the base product, enter it here.
Variant Weight
Enter the weight for the variant here.
Variant Stock
If you have entered a SKU code for the variant, enter the quantity of how much stock you have of the variant here.
Variant Reward Points Earned With Purchase
If you are using the reward points app, this field will be available to you. Enter the number of reward points that customers earn when they purchase this variant if it is different from the base product. Only enter numbers in this field.
Variant Cost Price
This field will be available to you if you have installed the gross profit report app. If the variant has a different cost price to the base product, enter it here.
Deleting variants
To delete all of the variants from a product enter [REMOVE] in the 'Variant Option 1' column.
To delete just one variant option from a product remove all associated data for that variant from the relevant columns.
Please note!
Deleting only the variant that is present in 'Variant Option 1' is not possible through the product import system.
Removing data for 'Variant Option 1' will not delete the variant.
You would, instead, need to delete that variant through the admin system.
